This policy explains what data Qayd collects, why we collect it, and what you can ask us to do with it. It covers our website and the Qayd application.
Who we are
Qayd provides practice management software for intellectual property agencies in the UAE and the wider GCC. When you use Qayd, we act as the data controller for your account and billing information, and as a data processor for the client and matter records your firm enters into the system.

What we collect
Account data: the name, work email, phone number, and firm name you give us when you request access or create an account.
Practice data: the clients, matters, deadlines, documents, and invoices your firm enters into Qayd. This data belongs to your firm. We store and process it so the product can work, and we do not sell it or use it for advertising.
Technical data: log records such as IP address, browser type, pages visited, and timestamps. We use these to keep the service secure, diagnose faults, and understand which features are used.
Why we use it
To provide the service, including calculating deadlines, sending reminders, and generating invoices.
To contact you about your account, service changes, and support requests.
To keep the service secure, investigate suspected misuse, and meet our legal obligations.
We do not sell personal data, and we do not share it with third parties for their own marketing.
Cookies
We use only the cookies the service needs to function: a session cookie to keep you signed in, a security token that protects forms against cross-site request forgery, and a cookie that remembers whether you prefer Arabic or English.
We do not use advertising cookies or third-party tracking cookies.
How your data is stored and protected
Each firm's data is held in its own separate database rather than mixed together with other firms' records.
Backups are encrypted and taken daily. Access to production systems is restricted to staff who need it.
Changes to records are written to an audit trail, so your firm can see who changed what and when.
No system is perfectly secure, but if a breach affects your personal data we will notify you and the relevant authority where the law requires it.
Sharing with service providers
We use a small number of providers to run Qayd, including cloud hosting, email delivery, and error monitoring. They may process data on our behalf, only for the purpose of providing their service to us, and under contract.
We may disclose data where a competent authority lawfully requires it.
How long we keep it
We keep account data for as long as your account is active. After you close your account, we keep what we must for legal, tax, and accounting purposes, and delete or anonymise the rest.
Your firm controls its practice data and can ask for an export or deletion at any time.
Your rights
You may ask us for a copy of the personal data we hold about you, ask us to correct it if it is wrong, ask us to delete it, or object to how we use it.
Write to [email protected] and we will respond within a reasonable period. If your data was entered into Qayd by a firm using the service, we will pass your request to that firm, since the data belongs to them.
Changes to this policy
If we change this policy we will update the date at the top of this page. If a change materially affects how we handle your data, we will tell you directly.
